Moving from HubSpot to monday CRM: what changes, what it costs, how long it takes
Moving from HubSpot to monday CRM makes the most sense when your team already runs its projects in monday.com and keeps copying information between the two. The move itself usually takes about 20 hours of work, plus 5 to 20 hours to clean the data. The move we describe below took about a month. If your team relies on HubSpot’s marketing tools every day, staying may be the better call. Below is how to decide, what changes, how the move works, and real hours from a HubSpot move we did.
Should you move from HubSpot to monday CRM?
The most common reason we hear is simple: a team already runs its projects in monday.com, then finds out monday.com has a CRM. Sales lives in HubSpot, delivery lives in monday.com, and someone spends their week copying a closed deal into a project board.
Moving usually makes sense when:
- Your projects already run in monday.com, and you want a deal to turn into a project without retyping it.
- Your sales process is fairly simple, and you mostly use HubSpot for contacts, deals and email.
- You want one place where sales and delivery can both see what’s happening with a client.
Staying on HubSpot is often the better call when:
- Your marketing team uses HubSpot every day for email campaigns, landing pages and lead scoring.
- You have many tools connected to HubSpot that would all need to be reconnected.
- Your sales team is happy and the problem is somewhere else.
To be honest, if HubSpot is working for you and the only issue is reporting, fix the reporting first. A move is worth it when it removes work your team does every week.
What changes when you move?
| In HubSpot | In monday CRM |
|---|---|
| Contacts, companies and deals | Contacts, accounts and deals boards, linked to each other |
| Deal pipeline and stages | A deals board with your stages, plus views for each person |
| Workflows | monday.com automations, rebuilt one by one |
| Email tracking and sequences | monday CRM email and sequences |
| Forms | monday.com forms that create items directly |
| Reports and dashboards | monday.com dashboards built from the same boards your projects use |
The biggest change isn’t a feature. It’s that a won deal can become a project in the same system, with the same client record, so delivery starts with everything sales already knows.
How does the move work?
- Map what you have. List every HubSpot property you actually use, and drop the ones nobody fills in.
- Export and clean. Export contacts, companies and deals, then remove duplicates and old records. This is usually where most of the time goes.
- Build the boards first. Contacts, accounts and deals, linked, with your real stages.
- Import in order. Accounts, then contacts, then deals, so the links between them hold.
- Rebuild the automations that matter. Start with the five your team would miss on day one, not all fifty.
- Train the team and switch over. Pick a date, and stop entering new data in HubSpot after it.
- Plan a second pass. A few weeks or months in, check the data again and adjust the boards to how your team really works.
How long does it take, and what does it cost?
The move itself is usually about 20 hours of work, plus 5 to 20 hours of data cleanup, depending on how tidy your HubSpot is. At Wild 6 we charge $175 an hour, our smallest engagement is a 10-hour package for $1,750, and most scoped projects start around $3,500. A real example
For Captivate Media, we moved the team from HubSpot to monday CRM in 20 hours, from mid-April to mid-May 2025:
- Imported their HubSpot data and rebuilt their contacts list
- A CRM with a lead form, views and automations
- Project boards and a project dashboard, so sales and delivery work in one place
- Document generation, invoicing and time tracking connected
- Training for the team
Over the next few months they added 11 more hours: we re-synced their HubSpot data, restructured some boards, connected the forms for each type of project, and ran more training. That second pass is normal. Your team only knows what it really needs once it has worked in the new system for a while.
The Wild 6 HubSpot move checklist
- Write down why you’re moving. One sentence. If you can’t, wait.
- List the HubSpot properties you actually use. Everything else stays behind.
- Decide what happens to old deals. Closed deals from years ago may not need to come over.
- Pick your switch-over date.
- Rebuild the five automations you’d miss first.
- Book the second pass now, a month or two after the switch.
Frequently asked questions
Can you import HubSpot data into monday CRM?
Yes. Contacts, companies and deals can be exported from HubSpot and imported into monday CRM, and the links between them can be rebuilt. Cleaning the data first is what makes the import go smoothly.
Will I lose my email history?
Plan for it before you move. Decide what history your team actually needs and how you’ll keep it. Some teams bring over notes on each record, others keep a HubSpot export for reference.
How long does a HubSpot to monday CRM move take?
About 20 hours of work plus 5 to 20 hours of data cleanup. The move we describe here took about a month from start to finish.
Is monday CRM cheaper than HubSpot?
It depends on your team size and which HubSpot hubs and tiers you use. Compare the plans you would actually need on both, and include the time your team spends copying information between systems today.
Can I keep HubSpot for marketing and use monday CRM for sales?
Yes, some teams do. It works if you’re clear about which system owns which information, and connect them so contacts aren’t entered twice.
Have you moved teams from other CRMs too?
Yes. For example, we moved MSU Research Foundation from Salesforce to monday.com.
